AutoSync Setup
AutoSync automatically creates a new lead on your monday.com board every time someone books a meeting through Calendly. Name, email, phone, meeting date, and event type are all captured and mapped to your board columns - no manual data entry required.
Prerequisites
Before configuring AutoSync, your monday.com board must have the following five columns set up:
Board Column Setup
To add a missing column:
- Go to your target board.
- Click the + button to add a new column.
- Search for the correct column type (for example, search "Phone" to add a phone-type column).
- Name the column appropriately (for example, "Meeting Date" for the date column).
Tip: The column names you choose will appear in the AutoSync field mapping dropdowns, so use clear, descriptive names.
Authorizing Your Calendly Account
- Open the Calendly Embed & Sync app on your board.
- Scroll below the Calendly URL embed section to find the AutoSync feature.
- Click Authorize to connect your Calendly account.
- Follow the prompts to complete authorization.
Important: Your Calendly account must be on a Professional tier or higher for AutoSync to work.
Configuring Field Mapping
After authorization, you'll see the AutoSync configuration interface showing your board name, group name, and available fields.
- Board Name - Automatically detected from the board where the app is installed.
- Group Name - Select the group within your board where new leads should be created.
- Map your fields:
- Name field - Select your Name column
- Email field - Select your Email column
- Phone field - Select your Phone column
- Meeting Date field - Select your Meeting Date column
- Event Type field - Select your Event Type column
The dropdown options are pulled directly from the columns on your board. Make sure your board has the prerequisite columns set up before mapping.
Duplicate Handling
Choose how AutoSync handles bookings from contacts who have already booked before:
- Skip if event email exists - If an invitee with the same email already exists on the board, the new booking will be skipped. Use this to avoid duplicate entries.
- Create anyway - A new lead entry is created for every booking, regardless of whether the email already exists on the board.
Select the option that best fits your workflow.
Connecting & Testing
- After completing the field mapping and duplicate settings, click Connect Calendly Account to finalize the connection.
- Use the Test Connection button to verify everything is configured correctly.
- If the test passes, your setup is ready to go.
- If the test fails, double-check your Calendly account tier and field mappings.
Saving Your Configuration
- Click Save to save all AutoSync configurations.
- Once saved, you'll see a confirmation that AutoSync is enabled.
- The app will display which board it is syncing to (for example, "Syncing to Calendly Leads board").
From this point on, every new Calendly booking will automatically create a lead entry on your mapped monday.com board.
Sync Log
AutoSync includes a built-in sync log so you can track every synced booking.
- Navigate to the Log View within the app to see a record of all synced leads.
- Each log entry shows when a lead was synced and the associated booking details.
- You can also go directly to your monday.com board to verify that leads have been created with the correct data in all mapped columns.
