How to use and navigate in the app

To get the most out of the Tag Audit and Tag Analytics app, follow this step-by-step navigation guide to audit, merge, and clean up your workspace tags.

Step 1: Assessing Workspace Health

When you first open the app, start at the Main Dashboard View to understand your current tag status:

  1. Check the Statistics Cards: Look at the Unused and Duplicate Groups cards to see how much cleanup is required.
  2. Update Data: Click the Refresh button in the top Header Bar to ensure the app has performed a fresh scan of all workspace tags.

Step 2: Identifying Cleanup Candidates

Use the Toolbar to narrow down which tags need your attention:

  1. Filter by Type: Click the Unused filter pill to see tags with zero usage, or the Duplicates pill to see tags flagged as potential duplicates.
  2. Search Specifically: Use the Search box to type a specific tag name if you want to check a particular category.
  3. Sort the List: Click the Usage Count or Boards column headers in the Tag Table to sort tags by how frequently or where they are being used.

Step 3: Analyzing Tag Details

Before taking action, investigate the specific context of a tag:

  1. Open the Panel: Click on a Tag Name in the table to slide out the Tag Detail Panel from the right.
  2. Review Usage: Check the Board List within the panel to see exactly which boards are using that tag.
  3. Find Similarities: Look at the Similar tags section to see which other tags are candidates for a merge.

Step 4: Performing Actions (Merge & Remove)

Once you’ve identified the tags to fix, use the workflow tools to execute the changes

To Merge Duplicates:

  1. Click the (⋯) Actions menu next to a tag and select Merge Tags.
  2. In the Merge Tags Modal, select the tags you want to consolidate.
  3. Pick the final target tag name you want to keep and click confirm.

To Bulk Remove:

  1. Select Remove from Items from the Actions menu to strip a tag from all items across the workspace.
  2. Confirm the action in the Remove Tag Modal and watch the progress tracker until finished.

Step 5: Finalizing and Exporting

  1. Verify Changes: Click the Refresh button again to confirm that the duplicates are gone and the “In Use” counts have updated
  2. Save a Report: Click the Export CSV button in the Header Bar to download a spreadsheet of your newly cleaned tag data for your records.
